Rescue Coordinator

Location: New York, NY

This position reports to: VP of Rescue

This position supervises: NY Staff Volunteers

Salary Range: $30,000 - $40,000

Employment Status: Contractor, no benefits


Job Description

The Rescue Coordinator is crucial to the success of Hearts & Bones' day-to-day operations in New York City. The ideal candidate will require strong organization skills, attention to detail, ability to multi-task, interpersonal skills, as well as a passion for animal welfare through the transfer, rescue, and adoption of animals. The primary responsibility of the Rescue Coordinator will be to take a lead on the medical and vetting process of all animals in Hearts & Bones care, ensuring all animals get the medical care they need and that medical histories are accurately tracked. This position will also support the VP of Rescue across the entire rescue department as needed (including adoptions, alumni, events, partnerships, etc) and serve as a liaison with the closely working teams.


The ideal candidate has:

  • Experience in a fast-paced work environment, and performs well under pressure

  • Ability to build and maintain relationships and work collaboratively with our partners

  • Ideally 1-2 years’ experience working or volunteering in animal welfare

  • A positive attitude and ability to stay calm under pressure

  • Is deeply committed to Hearts & Bones life-saving mission 


Core Responsibilities

  • Manage existing relationships with our veterinary partners

  • Serve as liaison between the vet and HBR staff volunteers + fosters

  • Work with fosters when medical concerns arise and take necessary action for vet intervention

  • Track and administer preventatives and prescribed medications as needed

  • Review medical records and manage medical disclosures

  • Manage invoices and medical summaries to ensure all have been received and paid

  • Track medical supplies and ensure given to appropriate dogs as needed

  • Work with foster program manager on foster communication; thank you emails etc. regarding dogs w medical concerns



  • Bachelor’s Degree or Equivalent

  • Fluent in English

  • Ability to complete work without close supervision

  • High attention to detail

  • Basic competency and comfort using word, databases, spreadsheets, operational management software, and social media

  • Problem solver who seeks out solutions and uses strong judgment to make timely decisions


Desired Skills

  • Experience working in an animal shelter or animal rescue

  • Experience with the non-profit sector

  • Knowledge of and commitment to adoption and foster programs in a foster-based rescue

  • Strong communication skills and ability to communicate effectively with a variety of audiences and partners


Work Conditions

  • While performing the duties of the job, the employee should be prepared to be able to physically lift 50 lbs and drive as needed. This position requires availability after hours and on weekends, as necessary.
